Email deliverability is what separates a working retention program from a silent one. Your best lifecycle flows, your sharpest copy, your highest-converting offers mean nothing if your emails land in spam folders or fail to deliver entirely. For CPG brands running fast on Klaviyo, deliverability isn’t a technical afterthought. It’s a business metric that directly determines email channel revenue.

Deliverability depends on three factors: sender reputation, authentication setup, and operational discipline. Each one is measurable, controllable, and easy to neglect. Most CPG teams neglect them because the work feels invisible until something breaks. By then, recovery takes weeks.

What Sender Reputation Is and Why It Matters

Sender reputation is the score that mailbox providers (Gmail, Outlook, Yahoo, and others) assign to your email sending domain. It reflects how consistently subscribers engage with your email and how often your mail gets reported as spam or blocked by spam filters.

Mailbox providers don’t just look at total sends. They track engagement rates, complaint rates, bounce rates, and unsubscribe patterns. If you send 100,000 emails and 15,000 go unread while 200 get marked as spam, your reputation takes a hit. Send the same volume to an engaged list where 60,000 open and 5 get marked spam, and your reputation improves.

A strong sender reputation means higher inbox placement, fewer emails filtered to promotions tabs, and fewer hard bounces. A weak reputation means more spam folder placement, lower open rates, and higher bounce rates even on clean lists. The financial impact compounds: lower engagement reduces revenue attributed to email, makes lifecycle flows underperform, and forces you to increase send volume to hit the same targets.

Reputation builds slowly and decays fast. One large mailing to a poor-quality list can damage a sender score that took months to build. CPG brands scaling quickly often underestimate this risk.

How Authentication Protects Deliverability

Authentication is the technical foundation of sender reputation. It tells mailbox providers: this email actually came from us, and we take responsibility for it.

Three authentication protocols matter: SPF (Sender Policy Framework), DKIM (DomainKeys Identified Mail), and DMARC (Domain-based Message Authentication, Reporting, and Conformance). Together, they form the standard deliverability baseline.

SPF allows you to specify which mail servers are authorized to send email from your domain. DKIM adds a cryptographic signature to every email, proving it came from you and hasn’t been altered. DMARC builds on both of them, telling mailbox providers what to do if SPF or DKIM checks fail.

Without these three set up correctly, your emails signal as unverified or spoofable. Mailbox providers treat unverified mail with suspicion. They filter it to spam folders or reject it outright.

Most Klaviyo users inherit correct SPF and DKIM records when they set up their account. But DMARC still requires manual configuration, and many brands skip it or misconfigure it. If your DMARC policy is too loose, it provides no real protection. If it’s too strict and misconfigured, it can block legitimate email from your own system.

Maintain List Quality to Preserve Reputation

A sender reputation is only as good as the list it’s built on. Sending to unengaged addresses, purchased lists, or old subscriber pools tanks deliverability faster than almost any other action.

Unengaged subscribers rarely open, click, or convert. If they accumulate on your list, the engagement rate drops. Mailbox providers notice this pattern and flag your mail as low-value. Spam folder placement increases. Open rates fall further, which signals to providers that the content is unwanted, which drives more filtering. The cycle reinforces itself.

The fix is ruthless list hygiene. This means:

  1. Remove hard bounces immediately. A hard bounce signals an invalid address. Continued sending to hard bounces damages reputation.
  2. Remove subscribers who haven’t engaged in 12 months. For CPG brands, this is usually aggressive enough. Supplement brands might extend to 18 months if the product has long replacement cycles.
  3. Monitor complaint rates. If your complaint rate exceeds 0.1 percent, you have a content or expectation-setting problem. Find out which flows generate complaints and fix them.
  4. Validate email addresses at signup. Use real-time validation to catch typos and invalid formats before they enter your system.
  5. Require double opt-in if your complaint rate is already elevated. It slows signup but drastically reduces invalid addresses and disengaged subscribers.

List quality is a ongoing discipline, not a one-time cleanup. Review it quarterly. Archive or remove anyone who hasn’t engaged in your defined window.

Monitor Key Deliverability Metrics

You can’t improve what you don’t measure. Klaviyo and most modern email platforms provide the core metrics. Know what they mean and track them monthly.

Delivery rate is the percentage of emails your system successfully delivered. If this falls below 98 percent, something is wrong with list quality or authentication. Investigate before it gets worse.

Bounce rate is the percentage of emails returned undeliverable. Hard bounces (invalid address) should be removed immediately. Soft bounces (mailbox full, server temporarily down) can often be retried.

Open rate and click-through rate reflect engagement. If these drop significantly while volume stays steady, you have a deliverability or content problem.

Complaint rate is the percentage of recipients who mark your email as spam. Most platforms flag this as a critical metric. A complaint rate above 0.3 percent across all your mail is a red flag. Some mailbox providers have stricter internal thresholds.

Unsubscribe rate is different from complaint rate. A subscriber clicking "unsubscribe" is a healthy signal. They wanted to opt out cleanly. Complaint rate (spam reports) is the danger signal.

Track these monthly. Compare them to your baseline. If any metric deteriorates by more than 5-10 percent, diagnose the cause before it cascades.

Operational Discipline Prevents Deliverability Disasters

Authentication and list quality are structural. But day-to-day operations determine whether you stay on track or drift.

Test before scale. If you’re launching a new flow or campaign, send to a small segment first. Check for bounce rate spikes, spam complaints, or unexpected filtering. Only then expand to your full list.

Monitor sending patterns. A sudden spike in volume can trigger spam filters. If you’re running a campaign that doubles your normal send volume, stagger it over a few days rather than blasting it all at once.

Avoid purchased or rented lists. If you acquire subscribers from a third-party broker, expect higher bounce rates and complaint rates. These lists are often stale or contain unengaged addresses. The deliverability cost almost always outweighs the marginal subscribers acquired.

Watch for list decay over time. Your subscribers become inactive for reasons beyond your control: they change email addresses, abandon inboxes, or simply forget about your brand. This is normal. But if inactivity rates accelerate, your product or messaging may be underperforming.

Set a clear email cadence and stick to it. Unpredictable send patterns confuse subscribers and spam filters. If you usually send three times a week and suddenly send daily, expect engagement to drop and complaints to rise. Establish a rhythm and telegraph changes to your list.

Common Deliverability Mistakes and How to Fix Them

Sending to unvalidated email addresses introduces hard bounces that damage reputation. Always validate at signup and remove hard bounces within 24 hours.

Neglecting DMARC configuration leaves your domain vulnerable and signals weakness to mailbox providers. Set up DMARC with a start-with-none policy, monitor reports, and tighten as you gain confidence.

Over-sending to unengaged subscribers inflates volume metrics while tanking engagement. Archive inactive subscribers instead.

Using a free email domain (Gmail, Yahoo, Outlook) for transactional or marketing email. Always send from your own branded domain. Free domains carry shared reputation risk.

Launching a new sending domain without warming it up. New domains have zero reputation. Send volume slowly over the first two weeks, testing engagement and bounce rates. Mailbox providers scrutinize new senders.

Ignoring list growth tradeoffs. Fast list growth often means lower-quality subscribers. Slow, intentional growth builds better reputation and stronger LTV. Choose deliberately based on your business model.

When deliverability breaks, the fix depends on the cause. If it’s a technical issue like misaligned authentication, fix it immediately. If it’s list quality, run a cleanup and monitor recovery over the next two weeks. If it’s a sudden volume spike, reduce send volume, investigate the cause, and resume gradually.

Start with Diagnosis Before You Invest

If you’re not sure where your deliverability stands, ask your email platform for a deliverability health report. Most tools can generate one. Look at your metrics against industry benchmarks for your category. If you’re below average, prioritize the gaps that carry the most weight: authentication, list quality, and engagement.

Deliverability improvements compound quietly. They don’t produce dramatic short-term revenue spikes. But they prevent revenue loss and protect the lifetime value of every email you send.
